With GreekTrack's fundraising campaigns you can collect donations online as well as log offline or external donations manually. When you do so you will enter in the donors name as well as the donation amount. At the bottom of the Add Donation form you can also mark this donation as matched by the donors employer which will add soft credit to the original donor's giving record. Many employers offer a donation matching program for their employees. GreekTrack makes it easy to include these matches in your records. Here's how it works:
The donor has given a $100 donation that will be matched 1 to 1 by their employer
First, we'll want to log this donation in the appropriate campaign. From the Finances > Fundraising Manager page we'll select the correct Fund, then the correct Campaign to attribute this donation towards. Then click on Log a donation/pledge. Here we'll add a donation for "Alex Anderson" for $100. Since we know Alex's employer, Acme Children's Hospital, will match this donation 1 to 1, we'll check the box in the Company Match section of the Add Donation Form, and enter "Acme Children's Hospital" as the company and $100 as the matched amount. This will record two things:
- a donation for Alex Anderson for $100.
- a pledge for Acme Children's Hospital for $100 (shown below in grey italics to denote a pledge).
Later, the donation arrives from Acme Children's Hospital
Now we will record this new donation but we'll attribute it to Alex Anderson to both fulfill the outstanding pledge and award Alex their soft credit for bringing in this additional donation.
To do this we'll return to the same campaign and again click on Log a donation/pledge. This time the donor is Acme Children's Hospital. The amount is $100. And in the Credit Another Individual section under Award Soft Credit we'll type in "Alex Anderson". This will record two things:
- convert Acme Children's Hospital's $100 pledge into a $100 donation.
- record a $100 soft credit for Alex Anderson
What if the company match arrives in multiple donations?
No problem, log it just as you would in the example above. Let's say you received $50 from Acme Children's Hospital instead of the full $100. When you record this donation and credit Alex Anderson three things will happen:
- reduce Acme Children's Hospital's $100 pledge into a $50 pledge (amount remaining).
- record a new donation from Acme Children's Hospital as a $50 donation.
- Award a $50 soft credit to Alex Anderson.
